Generative Artificial Intelligence (AI) Use Policy

The Black Sea Journals adhere to the principles outlined by COPE, WAME (World Association of Medical Editors), and YÖK (Ethical Guidelines on the Use of Generative Artificial Intelligence) regarding the use of generative artificial intelligence (AI).
This policy aims to establish principles regarding the ethical and scientific use of generative artificial intelligence technologies. Its primary objectives are to ensure that generative AI-powered tools are used in academic writing and analysis processes in a conscious, responsible, and transparent manner, while also protecting the principles of data privacy, academic integrity, and scientific reliability.
This policy is subject to the journal's ethical principles and publication policies. It will be updated as necessary, taking into account the constantly evolving nature of generative artificial intelligence technologies.

1. Generative Artificial Intelligence Use Policy for Author(s)

1.1. Authorship and Responsibility
Under no circumstances should generative artificial intelligence tools be listed as author(s) or co-author (s) of an academic article. The author(s) of the article take full responsibility for the content, accuracy, and originality of the submitted article. The use of AI tools does not eliminate the scientific, ethical, and intellectual responsibilities of the author(s). The journal strictly prohibits the use of AI for the purpose of creating fake author(s) or distorting identities. All responsibility in this regard lies with the author(s). The author(s) are responsible for verifying all content, citations, and sources derived from AI outputs; the author(s) are solely responsible for fabricated or unverifiable references. Contributions made through AI tools, such as language editing or visualization, must be reviewed by a human.
1.2. Transparency and Disclosure
The use of any AI tool during research, writing, or processes must be clearly and transparently disclosed within the article. This disclosure should be included in the “Materials and Methods” or “Acknowledgments” section, as appropriate. All articles submitted to the journal must be accompanied by the following forms: “Copyright”, “Conflict of Interest Statement”, “Author Contributions”, and “Use of Generative Artificial Intelligence (AI)” that can be reached the journals main page. The disclosure must specify in detail how and for what purpose the AI tools were used, including their full names and version numbers. The use of generative AI should not exceed 30% in different stages of the article writing process (Methods and Design, Literature Review, Data Collection and Analysis, Text Formation, Translation into English or from Foreign Languages, Summarizing Written Sources Used in Article Writing, etc.).

2. Generative Artificial Intelligence Usage Policy for Editors

2.1. Confidentiality and Intellectual Property Liability
Editors should not upload unpublished articles, their files, images, or any related information to AI tools. Protecting the confidentiality of the submitted content and securing the intellectual property rights of the author(s) are among the main responsibilities of the editors. All responsibility in this regard lies with the editor(s).
2.2. Using AI in the Evaluation Process
Editors may use AI tools at specific stages of the editorial workflow, such as initial eligibility screening or reviewer selection, only with the explicit approval of journal management. Any such use of AI should be transparently communicated to the author(s).
2.3. Management of Suspicious Misuse
Where there is uncertainty or concern about the use of AI, editors should communicate openly and transparently with the author(s), requesting supporting evidence where necessary. Cases requiring further investigation should be referred to the journal management for formal consideration. When in doubt, decisions should not be made solely on the basis of automated "AI detection tools"; multiple lines of evidence, such as language consistency, data/citation verification, and author disclosures, should be considered.
2.4. Evaluation of Author(s)' Statements on the Use of Generative Artificial Intelligence
Editors are expected to carefully review the author(s)' statements regarding the use of AI tools and request clarification or additional information when necessary. It is the responsibility of the editors to determine whether the declared use of AI is in accordance with the journal's established policies.
2.5. Following Policy Developments
Editors should closely follow developments in AI technologies and be aware of the journal's updated policies in this area.

3. Generative Artificial Intelligence Usage Policy for Reviewers

3.1. Detection of AI Use
Reviewers are encouraged to identify possible unreported uses of AI in the manuscripts they review and inform the editors if they suspect such a situation. However, such assessments should be based on clear and objective evaluation criteria.
3.2. Confidentiality and Ethical Responsibility
Reviewers should not upload unpublished manuscripts or any related documents submitted for review to AI platforms under any circumstances. Such actions may violate confidentiality and infringe on intellectual property rights. The review process should be conducted based on the reviewer's own level of expertise and knowledge. All responsibility in this regard lies with the reviewer(s). The production of reviewer reports by AI is prohibited; if AI is used solely for language editing purposes, this must be clearly stated.
3.3. Evaluation Ethics
Reviewers should evaluate the authors' use of AI impartially; personal opinions or biases should not interfere with the journal's established policies. Any feedback or criticism regarding the use of AI should be constructive and consistent with the journal's official guidelines.

4. Permitted Areas for Generative Artificial Intelligence Use

4.1. Conceptual Diagrams and Explanatory Visuals
AI can be used to visually express theoretical ideas, conceptual frameworks, or processes.
4.2. Data Visualization
Author(s) can utilize AI tools to enhance the visual presentation of their research data.
4.3. Graphical Descriptions and Representative Visuals
Visuals created with AI can be used as symbolic or explanatory representations to simplify and clarify complex ideas.
4.4. Language Editing
Author(s) can use AI for limited purposes, such as correcting spelling and grammar errors in the text.

5. Restricted or Prohibited Areas of Generative Artificial Intelligence Use

5.1. Content Creation
It is not appropriate for AI to generate important sections of the article (such as the abstract, introduction, literature review, or discussion).
5.2. Production and Interpretation of Research Outcomes
AI tools should not be used to generate, report, or interpret research results.
5.3. Reference Production and Citation
It is strictly prohibited to use AI tools to generate fabricated, unverifiable, or non-existent references.
5.4. Academic Writing and Justification
The development of the article's main arguments, theoretical contributions, and main thesis is solely the responsibility of the author(s).

6. Procedure in Case of Policy Violation

If the use of AI tools is not clearly stated or if they are used in a manner contrary to these guidelines, the article may be rejected during the review process. If a violation is detected after publication, corrective measures such as publishing a correction or retracting the article may be taken. Repeated or serious violations of this policy may result in the journal rejecting future submissions from the author(s).

7. Future Changes and Updates

The journal supports innovative approaches in academic research while maintaining scientific standards and ethical principles. The aim is to improve both publication quality and scientific contribution while maintaining this balance. This policy will be regularly reviewed and updated in line with technological developments and changes in academic standards.
